Initial Phone Call

We start with a conversation, typically 15 to 30 minutes. We want to understand the type of loss, what has happened so far, and whether professional representation would make a meaningful difference. If the claim appears viable, we’ll schedule an on-site visit. If the loss is too small or unlikely to benefit from representation, we’ll tell you that directly and offer what guidance we can on handling it yourself.

On-Site Visit

We come to the property before asking for any formal commitment. We’d want someone to look at a loss before signing anything. That’s how we operate.

Depending on the extent of the damage, we’ll typically spend two to four hours on site. We document the structure, photograph every aspect of the loss, moisture-map with a calibrated meter, thermal-image with a FLIR camera to identify moisture behind walls and ceilings, use drone photography when roof or exterior conditions require a closer look, and use calipers where needed to measure wood swelling from moisture intrusion.

While on site, we’ll also walk through the engagement process, fee arrangement, and what happens next.

Engagement and Policy Review

If the on-site evaluation confirms a viable claim, we’ll ask for your commitment while we’re together. Once you decide to move forward, we’ll send the engagement documents for signature. From the moment they’re signed, we are your legal representative in the claims process.

At that point, we request a complete copy of your insurance policy from the carrier. Most policyholders only have their declarations page, not the full policy. We review the complete policy as soon as it’s received, looking for whether coverage is open or named peril, endorsements that limit coverage, and relevant provisions that may affect your specific loss.

Building the Claim Package

We build estimates in the same software your insurer uses — Xactimate in most cases, Symbility for carriers that use that platform. The format matters: we want the comparison between our position and theirs to be about scope, not presentation.

A complete Versa claim package includes a detailed line-item estimate of the total loss valuation, all photographs annotated with descriptions, a claim summary letter that orients the carrier’s adjuster to the key documented issues, and any additional technical documentation the claim requires.

Client Review and Proof of Loss

Before anything is submitted to the carrier, we go through the entire package with you. Once you understand what we’re presenting and are in agreement, we submit the claim package with your sworn proof of loss.

Submission and Negotiation

The package goes to the carrier. From this point, the carrier’s adjuster works directly with us. Your insurer cannot contact you directly about the claim without our involvement.

Negotiation typically involves several rounds of discussion. There may be two or three revised payments before we reach a final agreed number. We track the carrier’s responses against Texas Insurance Code statutory timelines throughout the process.

Resolution

Once we reach a settlement that is agreeable to you, the carrier issues payment. Our fee is invoiced at conclusion — a percentage of what we recovered, nothing more.

If We Reach an Impasse

The file is litigation-ready from day one.

In approximately 95% of claims, we reach a satisfactory settlement with the carrier. In the rare cases where we don’t, your claim file is fully prepared for the next step.

Every substantive communication with the carrier’s adjuster is documented in writing. The complete file — photographs, estimates, correspondence, timeline — is backed up and can be transferred to an appraiser or attorney with a single download link. On complex claims, we’ll typically prepare a separate summary document walking through the key timeline and submissions to orient the legal team before they go into the full file.

The documentation standard we apply from day one is designed to be usable beyond our own engagement if it ever becomes necessary.
